4CS abstract preparation and submission

Here is some useful information about submitting an abstract. All this information is in the APS site, but you have to start the submission process to find it.
Browsers: Safari is not compatible. Mac users should use FireFox instead!
Format:
- Rich Text Format ( .rtf) Prepare in MS Word, Pages, or other word processing package, Save As rtf format. You can use equations prepared with the MS equation editor or MathType.
- LaTEX Standard LaTEX formatting, no template available, as far as we know.
PDF is not an option. The APS team takes the submissions and generates the program in their own format, so they need the source text.

Contributed presentations (oral and poster):
Submit contributed talks at: abstracts.aps.org
- The submission must be entered by an APS member. Membership in the Four Corners Section is not required, but all APS members can join our section for free. (The 4CS gets a portion of the membership dues - this helps support our activities and provide money for student awards).
- APS members with an existing web account can look up their member ID at the APS membership services page.
- You can join at the Join APS page. The first year for students is FREE, subsequent student rates are inexpensive.
- You can enter "membership pending" in the Member Number field if you are in the process of joining.
- About the abstract:
- The process is the same for both oral and poster presentation. You will need the title, author list (names, email addresses and affiliations for each) and the abstract. If your work is part of a big collaboration, you will be able to specify that.
- The first author is the presenter and must register and attend the conference.
- APS rules are that you can be first author on only one presentation.
- You will be asked for a sorting category. The first 5 are for the focus area symposia, other areas of physics follow. Please select the one category that is the closest to your area.
- You will be asked for your preference for oral vs poster. Please note that all abstracts will be accepted - we will do our best to honor your preference for the method of presentation.
- There are fields available to acknowledge support and to add a note (for example if an author has a new affilation)
- Abstract length: The entire submission is limited to 1300 characters for contributed presentations. This includes the title, abstract body, authors, affiliations and any footnotes. This amounts to something like 250 words.
- Preparing the abstract:
- 1. Prepare your submission in Word (or other), including your title, abstract body, authors, affiliations and any footnotes. Do the character count to check the length.
- 2. Insert your title and abstract (no authors, affiliations) into the .doc version of the template, then Save As .rtf. This is what you upload.
- If you want to do a LaTEX submission, you can try pasting in your LaTEX into the title and abstract fields provided. There does not appear to be an actual template.
- After you submit your abstract, you will be given a preview, along with a character count. You have the opportunity to go back and revise if necessary.

Invited and Plenary presentations: Invited and plenary presenters are not required to submit a title and abstract, but if you want to have the abstract in the program, please enter it into the system.
In any case, please send your title and abstract to us at 4cs2009@mines.edu so we can post it on the website.

Most of the guidelines for contributed talks are applicable except:
- You are not required to be an APS member. Of course it is always encouraged!
- The total character length limit is 2000; ignore any mention of the 1300 character limit.
- There is no sorting category for invited talks. Put in "Not Applicable"
- There is only one author in the list for invited and plenary talks.
- The .doc version of the template, then Save As .rtf.
